Trustee Recruitment, Selection and Induction Policy

The Aim of this policy is to provide guidance on good practice.
Both the recent “Protection of Children Act” and the “Protection of Vulnerable Adults Act” apply to all members of voluntary groups such as CCT. Two separate policies deal with these issues.
Composition of Board of Trustees:
Section 6 of CCT constitution states that the board or committee of trustees will consist of 11 members, none of whom may be paid employees of CCT.
It states that up to 7 trustees are elected at an AGM or EGM and are to hold office for 3 years. The remaining 4 trustees will be co-opted by the elected trustees and will hold office until the next AGM.
Election of Trustees:
Elected trustees will normally be chosen by a vote of members at the AGM following their resignation or removal from office. If there are 3 or more vacancies and it is more than 8 weeks to the next AGM, the remaining trustees should call an EGM to enable the members to fill the vacancies by election.
Nominations:
No trustee may be elected unless the proposer and seconder names are noted and recorded in the minutes of the meeting. Such nominations may be made by trustees or members of CCT.
All nominees must meet the Charity Commission’s criteria specified in their booklet “Responsibilities of Charity Trustees” CC3 section 8.
It is a sensible practice for existing trustees to consider nominations prior to the AGM and take the following into consideration:
- 1. What skills, knowledge and experience are provided by the existing trustees?
- 2. What skills, knowledge and experience are needed to ensure that CCT is run effectively, economically and appropriately?
- That the full committee reflects the diversity of the membership of CCT and the user groups
- That the full committee reflects the diversity of the wider community, in age range, ethnicity, range of abilities and disabilities, social and financial position.
Co-options:
Up to 4 trustees may be co-opted by the elected trustees. They may do this at the AGM or they may decide to co-opt at a later date. The above 4 considerations should guide all co-option decisions.
Induction:
It is the duty of the chair of CCT to ensure that all new trustees have their role explained to them, that they receive copies of all documentation listed in appendix A, are provided with opportunities to receive proper training in the role and responsibilities of charity trustees in general and CCT.
